We are seeking a collaborative team member with a friendly, take charge, work style, who is well-organized, detail-oriented and able to effectively support the operations of our growing Miami Office. They will support all operations from human resources, sales, project implementation and billing in order to ensure the Miami office is running smoothly.

Brooks Building Solutions has been in business since 1984 and currently has 70 associates, 32 of which are in the service department.  The primary cities in our market are Jacksonville, Gainesville, Tallahassee, and Miami.  Our main office is in Jacksonville with satellite offices in Tallahassee and Miami.

BBS is the factory authorized service provider for Daikin Applied in the North Florida and South Georgia markets.  Our technicians are trained as if they are Daikin Factory Service employees.  Our clients include commercial office buildings, military bases, K-12, higher education, healthcare, hospitality, and industrial.  We do not service residential or refrigeration. 

BBS has been installing Building Automation Systems for over 30 years.  We support Tridium Niagara and BACnet as our products of choice.  We team up with our Equipment sales team to provide turn-key solutions on bid day.  We utilize our existing Service Sales Team to provide BAS retrofit solutions and energy solutions to the existing building community


  • Provide general support to the sales team as needed to ensure operations are running smoothly and communication from sales to internal and external customers is effective.
  • Create materials needed to transition jobs from sales to corresponding operations. Ensure all notice to owners are completed on time.
  • Coordinate and support the entire sales process from bid to billing to ensure all materials, reporting and activities are completed.
  • Maintain all sales tracking spreadsheets and market share data for Miami office. Gather pertinent information and organize it into visual or written presentations to effectively communicate within Brooks.
  • Plan and coordinate customer meetings, including materials and travel arrangements.
  • Successfully manage multiple, simultaneous projects and tasks that require continual problem/solution identification in a fast-paced environment.
  • Share/develop best practices and tools with the Jacksonville office as needed.
  • Order project related equipment and office materials.
  • General office maintenance including scheduling office cleaning company, office phone, internet setup/issues, office copier setup/issues.
  • Ensure all American Express reports are submitted to accounting by the required deadlines.
  • Assist in the onboarding of new hires located in the Miami with the support of the Human Resources team.

Desired Skills & Experience

  • High School Diploma required
  • Bi-lingual (English/Spanish)
  • Proficient in MS PowerPoint, Excel, Word, MS 365/SharePoint
  • Publisher and/or WordPress experience a plus
  • Strong verbal and written communication skills
  • Accounting such as billing and accounts payable experience a plus
